Privacy Policy
Your documents are private. This policy explains what GreatAutomate processes, why, and for how long.
At a glance
- Files are processed in memory on our own servers, only to produce the result you asked for.
- Results are kept for a short time so you can download them, then deleted automatically.
- No third-party processing. Your documents are never sent to outside processors, advertising networks or AI services.
- We do not sell personal data and we do not show ads.
Your files
When you run a tool, the files you upload are processed in memory to perform that task. The output is stored temporarily on our servers so you can download it, and is deleted automatically after a short time. Signed-in users can delete a result earlier from the dashboard. Files sent to the developer API are processed the same way, and the result is streamed straight back without being stored. We keep a small task record (tool used, file names, sizes, status and time) so your dashboard can show recent files and so allowances can be enforced; this record never contains document contents.
What we collect
- Account data: username, e-mail address (if provided) and a securely hashed password, or the identifier from your sign-in provider if you use one.
- Usage data: task records as described above, daily usage counts and API key usage.
- Technical data: IP address, browser type and request logs, used for security, abuse prevention and allowance limits for guests.
- Billing data: plan, order reference and payment status received from our payment partner. We never receive your full card number.
- Messages: what you send us when you contact support.
How we use it
We use this data only to run the Service: to process your tasks, operate your account and allowances, provide support, handle payments, keep the Service secure and fix problems. The legal bases are performing our contract with you, our legitimate interest in running a secure service, and legal obligations such as tax records.
Cookies & local storage
- Session cookie, set when you sign in, keeps you logged in.
- Guest cookie (
ga_gid), a random identifier, lets guests see their own recent results and applies the guest daily allowance. - Theme preference, saved in your browser's local storage, remembers light or dark mode.
We do not use advertising or cross-site tracking cookies.
Service providers
We use a small number of providers that never receive your documents:
- Dodo Payments or Polar (depending on the checkout in use) processes payments for paid plans as merchant of record.
- Sign-in provider: if optional third-party sign-in is enabled and you choose it, that provider handles authentication.
- Google Fonts serves the web font used by the site, which means your browser requests it from Google.
- Hosting: our servers run in data centres operated under contract and confidentiality obligations.
Retention
- Result files: a short time, then deleted automatically.
- Task records: kept while your account exists, or for a limited time for guests, then deleted.
- Account data: until you ask us to delete your account.
- Billing records: as long as tax law requires.
- Server logs: up to 30 days.
Security
Traffic is encrypted with HTTPS, passwords are hashed, access to production systems is restricted, and result files are only reachable by the account or guest session that created them. No system is perfectly secure, so please avoid uploading documents you are not allowed to share.
Your rights
Depending on where you live, you can ask to access, correct, export or delete your personal data, and object to or restrict certain processing. E-mail [email protected] with the subject "Privacy request". We answer within 30 days. You can also complain to your local data protection authority.
Children
The Service is not directed at children under 16, and we do not knowingly collect their personal data.
Changes
We will update this policy when our practices change. The date at the top shows the current version, and significant changes are announced on the site.
